Meetings
Meetings can be quite effective or they can be a time waster. To ensure that your meeting runs smoothly, you must first determine whether it is genuinely necessary.
Only broach subjects in meetings that are too complicated to address asynchronously or via chat. A meeting should not be called simply to receive a quick response.
Daily Sync
The Daily Sync is a brief daily meeting (usually 15 minutes or less) where each Team Squad gathers to share what they did the previous day, what they plan to do during the current day, and if there are any obstacles that may hinder their progress. The idea is for each member of the Team Squad to be aware of the progress of others and be informed about any issues or challenges that have arisen in their specific team. This allows the team to proactively address obstacles and stay on track toward achieving the project's goals and objectives. Each meeting is generally held in a visible location for everyone, such as an open area or a conference room, and each member of the Team Squad should be standing to encourage brevity and efficiency. The meeting is typically held between 9:00 AM and 9:15 AM.
Engineering Team Sync
It is a monthly meeting where the entire engineering team gathers to discuss achievements and challenges from the previous month, review project progress, and share plans for the upcoming month. It can also be a time to conduct a retrospective review of processes and procedures, making necessary adjustments to improve efficiency and quality.
Engineering Leads Sync
It is a bi-weekly meeting where engineering leaders gather to discuss technical and organizational issues related to the development team. In this meeting, they can share updates on the projects their teams are working on, discuss technical challenges, and address any issues that may arise regarding personnel or the team in general.
1:1 Sync (Individual)
Monthly individual sessions provide an opportunity to openly review successes and challenges, conduct a progress check on goals and skill development. These sessions are also intended for team members to provide feedback about the company, whether positive or negative. The goal of the team is to maintain a constant two-way communication channel.
Quarter Sync
It is a quarterly meeting where the development team gathers to review the goals of the previous quarter, share updates on progress toward those goals, and set new objectives and goals for the next quarter. This meeting can also be a time for a deeper retrospective review and reflection on what has been achieved and what can be improved in the future.
Yearly Sync
It is an annual meeting where the development team and organizational leaders gather to assess achievements from the previous year, establish new goals and strategies for the next year, and align the entire team around common objectives. This meeting focuses on long-term planning and important strategic decision-making. During the meeting, important topics such as financial performance, customer satisfaction, team growth and development, adoption of new technologies and tools, and other strategic matters are discussed. The goal is to establish a clear and realistic vision for the future and make decisions that allow the organization to continue growing and thriving.
